PH 1:1 Program Coordinator

the Role:
Working closely with the Executive Director (ED) and General Administrator (GA), The Program Coordinator for “PH 1:1” is primarily responsible for the development, management and evaluation of the program. The position divides as such:
Program Development:
Collaborate with ED and GA to develop program content, administrative processes, reporting requirements, data collection plan, program policies, and shelter engagement plan to meet program targets set by the ED.
Create, update, and distribute registration and data collection documents, such as youth participant registrations, artist registration and surveys and minutes from relevant mentor progress meetings.
Program Management:
Maintain and update program database (AirTable)
Liaise with shelters and community support organizations to obtain youth registrations
Schedule and execute on-boarding of all youth mentees by reviewing their artistic interests, motivations, personal barriers, and connections with shelters/organization.
Assist ED with the hiring, on-boarding, and training of artist mentors. Perform targeted outreach in order to recruit new artist mentors when needed.
Maintain communication and relationship with youth mentees, artist mentors and shelter / community organization staff. Schedule & lead progress meetings throughout program.
Direct and advise artist-mentors in mentorship execution and facilitation practices.
Track program progress by reviewing weekly session logs submitted by artist-mentors.
Attend weekly program meetings with ED and GA to discuss progress.
Support/coordinate purchases and delivery of artistic materials
Assist GA in monitoring budgets & costs for each partnerships’ materials.
Troubleshoot challenges faced by mentors and mentees which impact program participation (ie, technical, access, personal, health-related, etc.). Direct them towards support organizations, youth caseworkers, and external resources where appropriate.
Program Evaluation:
Update any data collection tools and methods when necessary.
Interview mentors, youth, and shelter/organization staff at end of each mentorship.
Identify successful partnerships for potential program renewals and extensions.
Record and report on participant feedback to aid ongoing program improvements.
Review session logs regularly, and all other data at the end of each 6-month semester.
Produce annual program report for PH staff and Board of Directors.
Support the creation of annual Impact Report for public communications.
Support production and sometimes presentation of program updates for funders.
Attend meetings with PH data consultant to review data and identify program outcomes.
Collaborate with Development Coordinator to identify partnerships to highlight in media releases.
General:
Attend regular staff meetings and participate in discussions related to other programming.
Attend staff anti-Oppression meetings and participate in PH discussions regarding ethics, procedures, and policies related to anti-oppression, equity, and accessibility efforts.
Contribute to calls for artists, grant applications, and other external PH communications.

Key qualifications and competencies:
Knowledge, experience, and/or interest in the arts or social services sectors (previous community-engaged arts, facilitation, and/or teaching artistry experience is desirable)
Experience with program coordination
Strong task management skills
Nice-to-haves:
Previous experience in community-engaged arts, facilitation, and/or teaching artistry
Proficiency with AirTable
Proficiency on other online tools: G Suite, Docuhub, Zoom, Asana, Slack
Taking into account the nature of PH 1:1’s program aims, applicants who are practicing artists, trained community workers, and/or who have lived experience of accessing community support services will be prioritized for this community-facing and stakeholder-facing role.
Terms & Conditions:
Part time contractor(15hrs/week)
$21.00/hr
